TL;DR: Transitioning traditional paper forms to digital formats can save significant time and improve accessibility. This blog explores our journey in moving 95 forms online, the challenges faced, the technology used, and the ongoing questions about process change and defining forms in a digital age.

Transforming Paper Forms to Digital Solutions

In an era where efficiency is key, our project embarked on a mission to eliminate paper forms and PDFs, transforming them into dynamic, user-created digital forms. Traditionally, departments like HR, Legal, and Accounting relied heavily on PDFs to disseminate information. But now, we're paving the way for more accessible and efficient digital processes.

The Initial Challenge: Identifying the Forms

Our journey began by meticulously combing through 6263 lines of spreadsheet data to identify forms trapped within PDFs. This daunting task took three days of focused effort, leading us to discover 95 forms that needed to transition online. The realization that there were 49 forms specifically related to customer contracts brought clarity and a tangible target, emphasizing the importance of defined goals.

Organizing and Tracking Progress

To maintain organization, we created a ticket repository, logging each form as an issue or ticket. This strategy proved invaluable, allowing us to attach files, include detailed information, and categorize forms by department, complexity, and technical requirements. Integrating this system with our Kanban tools ensured a seamless workflow.

Choosing the Right Technology

As we began digitizing these forms, two crucial technical considerations emerged:

  • Workflows: Multi-step approval processes (e.g., customer submits, Jim signs off, then Jane) needed careful review and correct assignments.
  • Web Applications: Some forms necessitated complete transformation into web applications to provide better solutions beyond mere digital replication.

Converting paper processes to digital required overcoming internal resistance. On average, creating a digital form took 30 minutes, but gaining employee trust and buy-in spanned five weeks. Offering clear submission options—like emailed submissions, PDFs in file folders, or data added to spreadsheets—helped facilitate acceptance and minimized resistance.

Despite some departments clinging to outdated processes, prioritizing online accessibility ensured customer convenience and system efficiency. Surprisingly, there was a strong demand for moving forms online, with most departments eager to embrace this change.

The Future of Forms: Questions to Address

Our progress raises critical questions for the future:

  • Who Should Lead Process Change? While tech teams currently drive change, a dedicated team with the right training and mandate might be more effective in managing internal processes.

  • Redefining Forms: As we shift from physical to digital, it's vital to reconsider how we define and label forms. Understanding legal implications and customer expectations is crucial in evolving these concepts.

In sum, our journey to digitize forms is just the beginning. By embracing digital transformation, we unlock immense potential for efficiency and innovation across organizations. The path forward involves not just technology, but reimagining processes and redefining what forms truly mean in a digital landscape.
